Panacea360 v3.1.0

Digital consent, secure document collection and more connected care

Panacea360 v3.1.0 is a significant update focused on making patient interactions more flexible, reducing unnecessary waiting and supporting more efficient paperless workflows.

Patients can now complete consent forms using a clinic tablet or their own device. They can also securely upload documents during their visit or remotely after leaving the clinic.

The release also introduces a new public referral experience for Syndesis, on-demand telemedicine through Meet now, greater control over appointment locations and improvements across Iris, clinical documentation, billing, reporting and audit.

The availability of individual features may depend on your organisation’s enabled modules, permissions, configuration and integrations.

Key Highlights

Digital consent on the patient’s preferred device

Consent forms can now be opened directly from the patient record and accessed on another device using a QR code.

Staff can scan the QR code using one of the clinic’s tablets and hand the device to the patient for completion. Alternatively, the patient can scan the code using their own phone or tablet.

This provides a more flexible paperless consent experience and reduces the need to print, scan or manually attach completed forms.

It also allows organisations to decide which approach is most appropriate for each patient:

  • The patient can use a clinic tablet supplied by a member of staff.

  • The patient can use their own phone or tablet.

  • Staff can continue working in Panacea360 while the patient completes the form on another device.

  • The form remains connected to the correct patient workflow.

Secure document collection during or after the visit

The new patient file upload workflow gives staff several ways to collect documents.

Users can:

  • Upload files directly from the clinic computer.

  • Generate a QR code for the patient or a member of staff to scan.

  • Send a secure upload link by email.

  • Send the link by SMS, where enabled.

  • Copy the link for sharing through another approved communication method.

The patient does not need to remain at the clinic. If a document is unavailable during the appointment, staff can send a secure link and continue with their work while the patient uploads it later.

This can help when a patient needs to provide:

  • Referral letters.

  • Identification documents.

  • Previous medical reports.

  • Insurance documents.

  • Images or photographs.

  • Other supporting clinical or administrative information.

Panacea360 displays the status of the upload request within the patient record, including the remaining validity of the link. Staff can resend, copy or cancel the link when needed.

Review before files enter the patient record

When files are received, staff are notified that they require review.

Patient-submitted files are not added automatically to the permanent patient record. An authorised user must:

  1. Review the uploaded file.

  2. Confirm that it belongs to the correct patient.

  3. Classify the document appropriately.

  4. Save it to the patient record or delete it if it is not appropriate.

This provides greater flexibility for patients while retaining clinical and information-governance controls over what becomes part of the formal record.

A new public referral experience for Syndesis

Organisations using Syndesis can now provide referrers with a dedicated online referral form.

The form can be configured to match local referral requirements, helping teams collect the right information from the outset and reduce avoidable follow-up.

The new referral experience includes:

  • Configurable fields and field order.

  • Mandatory and optional information.

  • Secure link and QR-code sharing options.

  • Supporting file attachments.

  • Mobile attachment upload.

  • Confirmation messages and emails for referrers or patients, where enabled.

  • Notifications to selected users, teams or email addresses.

  • A completion outcome to support clearer workflow tracking.

  • Attachment review from the patient record.

Where the OpenEyes integration is enabled, eligible referrals can also be sent to OpenEyes directly from the patient record.

Meet now telemedicine

Meet now provides a quicker way to begin a remote consultation when a pre-booked appointment is not required.

Authorised users can:

  • Create an on-demand telemedicine session.

  • Share a secure joining link with the patient.

  • Join and manage the consultation.

  • Complete or cancel the session.

  • Retain the session within the relevant Panacea360 workflow.

This gives clinical and administrative teams greater flexibility when a patient needs timely remote support.

Access is controlled through the new Telemedicine permission, allowing each organisation to decide which roles and users can use Meet now.

Safer and more reliable Iris recording

Iris recording and transcription have been strengthened with improved session tracking and additional safeguards.

Recordings containing no speech or unusable audio are now handled more clearly, reducing unnecessary processing and helping users understand when a new recording is required.

Additional controls support responsible usage and improve the overall reliability of the recording-to-transcription workflow.

More flexible appointment locations and online booking

Services can now be linked to more than one location, giving organisations greater flexibility when managing where appointments are delivered.

Administrators can:

  • Link a service to multiple locations.

  • Require users to select a location before an appointment can be saved.

  • Decide which locations are available through the public booking portal.

  • Control the public availability of a service at each linked location.

  • Choose whether the price is displayed for each individual service.

  • Enable additional protection against automated or spam booking submissions.

A new setting, Require location selection when booking, can be enabled under the appointment settings.

When enabled, users must select a location before saving an appointment. This is particularly useful for organisations that:

  • Operate from multiple physical locations.

  • Provide mobile or community-based services.

  • Use temporary or outreach locations.

  • Deliver services from remote sites.

  • Do not have a single fixed or default location.

This ensures that the intended care location is recorded at the time of booking rather than being assumed.

Improved documents, annotations and signatures

Clinical and administrative teams have new tools to support more complete digital documentation.

Image and PDF annotation

Users can mark up an uploaded image or PDF before saving it to the patient record. This can be used to highlight relevant information, add context or identify a specific area within a document or image.

Signature dates

Patient and clinician signature dates can be added automatically to supported clinical forms and PDFs, helping completed documents retain a clearer record of when each signature was provided.

Wacom signature support

Support for compatible Wacom signature devices has been updated for organisations using locally configured signature hardware.

Together, these improvements help reduce manual document handling and make digitally completed records clearer and more consistent.

Clearer audit and reporting

Panacea360 v3.1.0 introduces stronger visibility of how patient information is accessed and used.

Enhancements include:

  • Recording when patient information is viewed.

  • Recording when patient information is printed.

  • Clearer activity descriptions within the audit trail.

  • More meaningful labels for audited settings and actions.

  • Improved presentation of audit information.

These changes support information governance, accountability and investigation of patient-record activity.

Services per patient report

A new Services per patient report brings together service and appointment history to support:

  • Operational review.

  • Patient follow-up.

  • Service analysis.

  • Appointment-history review.

  • Identification of services previously provided to a patient.

Billing and insurance improvements

The billing workflow now supports an insurance authorisation code when creating or updating an invoice.

The authorisation code is also included on supported receipt layouts, helping teams retain important insurer approval information alongside the financial record.

The clinician billing report has also been refined with:

  • Sorting by billing number.

  • Sorting by creation date.

  • Clearer appointment totals.

  • A simplified report layout.

  • Removal of the cost column.

Where a supported accounting integration is configured, payment status can also be synchronised back to Panacea360. Availability depends on the accounting service and the organisation’s local configuration.

Panacea360 v3.1.0 also includes a range of refinements across frequently used areas.

Appointments and calendar

  • Appointment confirmation emails now reflect the booked status more clearly.

  • Handling of all-day calendar events has been improved.

  • Appointment information displayed from the calendar is clearer.

  • Schedule-conflict messages have been refined.

  • General calendar reliability has been improved.

Patient record

  • Responsive behaviour has been improved across the patient-record header and navigation.

  • Correspondence handling has been refined.

  • Carry-forward actions are more accessible.

  • Patient-upload status and review notifications are displayed within the patient record.

Forms and surveys

  • Live updates for forms and surveys are more reliable.

  • Signature dates are supported across relevant forms and generated PDFs.

  • PDF date-selection presentation has been improved.

  • Examination-template administration is easier to access for authorised administrators.

Billing and communications

  • Invoice presentation has been refined for supported Healthcode workflows.

  • Appointment email content and presentation have been improved.

  • Clinician billing totals and sorting are clearer.

Reliability improvements

Additional fixes and refinements have been made across:

  • Patient and referral attachments.

  • QR-code and remote uploads.

  • Referral workflows.

  • Services per patient report calculations.

  • PDF date selection.

Important Information for Administrators

Before making the new functionality available to users, administrators should review the following areas.

Consent forms

Confirm which consent forms should be available through the patient record and ensure staff understand the two supported approaches:

  • Scanning the QR code using a clinic tablet and handing it to the patient.

  • Allowing the patient to scan the QR code using their own device.

Remote document uploads

Confirm which communication methods are available for secure upload links, including email and SMS where enabled.

Staff should also understand that remotely uploaded files require review, classification and approval before they are saved to the patient record.

Syndesis online referral form

Review:

  • Visible and mandatory fields.

  • Field order.

  • Attachment requirements.

  • Notification recipients.

  • Confirmation messages and emails.

  • Access and security options.

  • QR-code and mobile-upload availability.

Telemedicine access

Assign the new Telemedicine permission only to roles and users who require access to Meet now.

Appointment locations and online booking

Review:

  • The locations linked to each service.

  • Whether location selection should be mandatory.

  • Which locations are available for public booking.

  • Which services are available at each public location.

  • Whether the price of each service should be displayed.

  • The organisation’s protection against automated booking submissions.

Clinician billing report

Advise report users that:

  • The cost column has been removed.

  • New sorting options are available.

  • Appointment totals have been revised and clarified.

Configured integrations

Confirm availability with your system administrator or MD IT before using new functionality associated with accounting integrations, OpenEyes or Wacom signature devices.

General users do not need to take any action unless advised by their organisation’s administrator.
